**Company Description** Atlantic Contracting \& Material Co., Inc. is a general contractor based in the Washington Metropolitan Area. Specializing in heavy and highway construction in the public and private sector. **Role Description** This is a full\-time, on\-site position for an Office Administrator, located in Chantilly, VA. The Office Administrator will manage daily administrative tasks such as organizing office operations, maintaining office equipment, coordinating schedules, and providing customer service support. Responsibilities will also include efficient communication within the team, liaising with vendors and stakeholders, and ensuring smooth daily office operations in a dynamic work environment. **Key Responsibilities** * Provide professional customer service and positive interactions while serving as primary point of contact with everyone who corresponds with senior management and leadership in a region, business unit, or project. * Maintain appropriate confidentiality in all matters and communicate appropriate level of information to preserve security and escalate concerns to senior management and leadership. * Perform administrative services including processing mail, overnight mailings, photocopying, filing, sending faxes, phone list updates, invoices, and order supplies and stationery (e.g., letterhead, business cards, envelopes). * Manage the Accounts Payable process between office and field teams. * Assist new employees with onboarding paperwork and job\-specific documentation. * Coordinate day‑to‑day administrative takes such as permits, payroll, and mail. * Complete HR administrative tasks and reporting, including onboarding, compliance, benefits, and termination paperwork. * Edit and assemble documents and reports for department head/manager. * Assist with general office inquiries from staff, owners, and others; provide proactive escalation as appropriate. * Maintain knowledge of business unit/headquarters’ historical information (e.g., use of vendors, event sponsorships, industry memberships/activities, client, and staff events) to support managerial related decision\-making. * Arrange travel reservations, business accommodations, prepare itineraries. * Maintain organized filing systems and coordinate document retrieval schedules. * Order supplies to support office needs. * Assist with special projects and coordinate events. * Apply critical thinking and problem\-solving skills to daily activities and keep executive apprised of office operations, related issues, and/or changes as appropriate. * Maintain Notary Public commission and manage corporate seal with discretion. (The Company will sponsor) * Establish Standard Operating Procedures (SOP) for role in partnership with Team to contribute new ideas and share great practices for continuous improvement and effectiveness of team and share for use by entire job family. * Process department head/manager’s expense reports. * Prepare, submit, reconcile, and track accurate, timely expense reports; assess for policy compliance, accuracy of documentation, and provide timely submission. * Other activities, duties, and responsibilities as assigned. **Qualifications** * Associate’s degree, High School Diploma or GED and minimum of 5 years of relevant administrative assistant experience in construction, or other related industry, required * Administrative Certification, desired * High degree of detail, accuracy, and organizational skills * High standards of accountability and integrity, maintain confidential information, and exercise discretion * Excellent interpersonal communication, professional presentation, and persuasion skills to confidently engage and influence at senior levels; engage with teams, vendors, and with all organizational levels * Approachable, proactive, positive, and professional * Professional communication skills, advanced business writing, editing and proofreading skills * Strong ability to prioritize responsibilities for self and others * Proactive follow\-up practices and capable of managing competing projects, events, and tasks with demanding time frames * Excellent critical thinking skills, use sound judgment to assess conflicts and solve problems * Excellent computer and database skills, Microsoft Office suite of applications, and collaboration tools * Regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. * Bilingual English/Spanish written and verbal desired * Commissioned Notary Public, desired (Company will sponsor) Benefits * Medical Insurance * Dental Insurance * Vision Insurance * 401k * Paid Time Off Pay: $18\.00 \- $22\.00 per hour Benefits: * 401(k) * Dental insurance * Health insurance * Life insurance * Retirement plan Work Location: In person
